When a client approves or declines a Planner item that has a quote attached, CloudRadial can set that quote's status in your PSA. This closes the loop between the client's decision in the portal and your sales pipeline without anyone updating the PSA by hand.
Supported PSAs
| PSA | What is updated | Typical statuses |
|---|---|---|
| ConnectWise | The opportunity status | Accepted: a status with the Won flag. Declined: Lost, or No Decision if you do not want a client decline to count as a loss |
| Autotask | The opportunity status | Accepted: Closed or Implemented (Autotask has no Won status). Declined: Lost |
| HaloPSA | The quote status, recorded through Halo's quote approval so the approver's name, email and date are kept in Halo | Accepted: Accepted. Declined: Rejected |
Kaseya BMS and Syncro do not have quote read access in CloudRadial, so no status is written for them.
Nothing is written until you choose a status
Write-back is off by default. CloudRadial only updates your PSA after you choose a status for Accepted, Declined or both. Leaving either one blank keeps today's behavior for that decision: the Planner item still moves, the PSA is not touched.
Setting it up
- Go to Partner > Settings > PSA and scroll to Planner Settings.
- Confirm Display quotes in Planner is on. If it is off, quotes are hidden from the Planner for all clients and there is nothing to attach.
- In Quote Status on Approval, choose the status CloudRadial should apply when a quoted item is approved. Leave it empty to keep approval a CloudRadial-only action.
- In Quote Status on Decline, choose the status to apply when a quoted item is declined. Leave it empty if you would rather follow up on declined recommendations yourself; the item is still archived.
- Click Submit.
The lists are read live from your PSA, so the statuses you see are the ones your PSA allows.
A note for HaloPSA partners
The Planner only shows Halo quotes whose status is in the Quote Statuses list on the same settings page. If the Accepted or Declined status you pick is not in that list, the quote will disappear from the Planner item after the client decides. The settings page warns you when this is the case. Add the status to the Quote Statuses list if you want the quote to stay visible.
What the client sees
When write-back is configured, the Approve or Decline confirmation names the quote and the status it will be set to. When it is not configured, the dialog is unchanged.
Approval requires the same permission as before: Account Planner with Edit rights. Approving moves the item to In Planning. Declining archives the item and keeps the quote attached so you can still see it on the archived item.
If the PSA update fails
A failed PSA write never blocks the client's decision. The item still moves, and CloudRadial records a Partner Advisory describing the failure so you can correct the status in the PSA manually. Common causes:
- The Autotask quote has no opportunity. Autotask stores status on the opportunity, so a quote without one cannot be updated.
- The PSA API user does not have rights to update opportunities or quotes.
- The chosen status was deleted or renamed in the PSA. Re-select it in CloudRadial.
